I-9 form

On the Form I-9, an employee must attest to his or her employment authorization. The list of acceptable documents can be found on the last page of the form. Employers must retain the Form I-9 for a designated period and make it available for inspection by authorized government officers. Use Form I-9 to verify the identity and employment authorization of individuals hired for employment in the United States. All U.S. employers must properly complete Form I-9 for each individual they hire for employment in the United States.

Form I

List A documents can be found below to establish Identity and Employability. Normally, students, scholars and employees will use List A. E-Verify is an Internet-based system that allows businesses to determine the eligibility of their employees to work in the United States.

Only original, unexpired documents must be presented in person to a member of the Student Employment Office. This may require your parent or guardian to mail the original documents to you. If the new hire doesn’t provide these documents, they may not be allowed to start work or remain in the workplace until they have the documents and are able to complete the form. Federal law requires employers to verify the identity and employment authorization of new employees and to re-verify employment authorization only in certain instances later. The Form I-9 is required only if you are physically present in the U.S. Even if you already have a U.S. address, a key component required for Duke Visa Services to complete the I-9 is the I-94 form, which cannot be acquired until you enter the U.S.

Student Employment

All individuals hired at the university must complete a federal I-9 form within three days of hire. Individuals that will be paid from a funding source that requires e-verification must be e-verified. Not all new hires at the university will need to be e-verified. It is used for verifying the identity and employment authorization of individuals hired for employment in the United States.

All new paid MIT employees hired or newly required, including faculty, staff and student workers, are to be E-Verified. All existing employees or student workers assigned to perform work on a federal contract which includes a FAR clause must also be submitted to E-Verify in compliance with federal law.

I-9 form

Employers must update or reverify certain ID documents at or prior to their expiration date. This does not apply to already presented and accepted non-expired U.S. Passports or Permanent Resident Cards when they reach their expiration date, nor to any List B documents (e.g., state driver’s licenses and state IDs). University Life

Your Government

Students/Interns (on-campus) – If you know when a student is coming to campus, the department should try to schedule a time to complete the I-9 using social distancing or contact HR for assistance. The University of Washington employs only individuals authorized to work in the United States in compliance with the Immigration Reform and Control Act of 1986. Effective March 19, 2020, any employers who were served NOIs by DHS during the month of March 2020 and have not already responded will be granted an automatic extension for 60 days from the effective date. Departments should submit new hire transactions as early as possible so that employee and student worker information is in the system before the employee or student conducts the verification step. This will help the process run smoothly for employees and student workers, and will avoid delay or interruption of employment. In accordance with U.S. immigration law, all faculty, staff, and student workers paid by MIT are required to provide proof of identity and authorization to work in the United States. Section 2 must be completed no later than the third business day after your start date. This pertains to all staff, faculty, academic appointees and student hires. Faculty, staff, and temporaries who are newly hired at the university and immediately paid from a funding source that requires e-verification must be e-verified within 3 days of date of hire. Existing university faculty, staff, and temporaries that are transferred to a funding source that requires e-verification must be e-verified within 30 days of the effective date of appointment to this source of funds. The university currently offers regional I-9 Centers where faculty, staff, and temporary employees complete the I-9 process.

The employee must still sign the certification block in Section 1. You do not need to complete a new I-9 for such promoted or transferred employees.
